Scheduled Care vs. Delivered Services: Documentation for ABA and I/DD Programs

A calendar appointment answers when support was planned. A service record should explain when support actually occurred and what was done.

Planned appointments are not proof of services

A scheduled 10:00–11:00 session might start at 10:08 and end at 11:03. These are separate facts and should not be merged into one timestamp.

KinNotice's planned session experience keeps scheduled event details separate from staff-confirmed actual start and end times.

What belongs in a session record?

Depending on the organization's approved workflow, staff might identify the participant and attendees, goals intended for the session and planned interventions.

At the end, they may document what actually occurred, relevant support strategies, observed outcomes, goal-related measurements, challenges and next steps.

What a duration can and cannot prove

The difference between recorded start and end times describes elapsed time. It does not establish billable units, clinical necessity, payer eligibility, coverage or regulatory sufficiency.

Each program must independently determine its clinical, payer and recordkeeping requirements, and retain any required primary systems.

How shared software might reduce fragmentation

Connecting an event, its actual session record, daily observations and goal measurements can make reviews easier for authorized supervisors.

KinNotice distinguishes service documentation from billing and clinical practice management.

Frequently asked questions

Will a recorded 55-minute duration count as 55 billable minutes?

Not automatically; billing rules and service eligibility require separate determination.

Can sessions be connected to goals?

The approach connects session context and goal documentation while keeping those records distinct.
