Organization sessions
Session Tracking Software for ABA, Therapy & Care Programs
Connecting a scheduled appointment with what actually happened during the service is essential for clearer operational documentation.
Start Session: capture the actual beginning
For an eligible scheduled service, an authorized staff member would open the calendar event and select Start Session. A configurable questionnaire would identify the participant, attending staff, relevant goals, intended interventions and any program-required context.
The saved session would have its own server-recorded start time rather than assuming the original appointment start time was accurate.
Document work during the session
Staff may need to record observations, support strategies, participation and goal-related measurements while the service is taking place. A session should remain appropriately accessible as the employee moves between authorized screens.
The intended system must account for interrupted sessions, changes in assignments and more than one staff participant without allowing cross-program access.
End Session: record what actually occurred
At the end, an authorized user would confirm what was performed, relevant outcomes, challenges, goal progress and follow-up requirements. The recorded end time would be used with the start time to calculate actual duration.
For example, an appointment scheduled for 10:00–11:00 that runs 10:08–11:03 would retain the scheduled window and a separate actual duration of 55 minutes.
Important limits for therapy and billing
An accurately timestamped session does not by itself establish clinical documentation sufficiency, billable units, payer eligibility or proof of covered services. Each organization must verify its own obligations.
Session records are intended to support organized documentation, not replace clinical practice management or billing determination.
Questions people ask
Can KinNotice calculate billable therapy hours?
The intended session feature calculates actual elapsed time, which is not automatically the same as billable time.
