How Adult Day Programs Can Share Meaningful Updates With Families

Families need more than “everything went well,” while staff need a practical and safe process for sharing the right details.

What makes an update useful?

Describe a concrete experience: an activity the person chose, how they participated and what they seemed to enjoy, where that is supported by observation.

Include respectful context about support and progress when it is appropriate to share. Avoid broad labels such as good, bad, noncompliant or difficult when they fail to describe an observable event.

An example of a more specific update

Instead of: “Jordan had a great day.”

Try: “Jordan chose the art group this afternoon, painted for about 30 minutes and showed staff the finished picture. Jordan then requested a break before the next activity.”

The improved message communicates activity, choice, timing and transition while remaining readable to a family member.

Protect the difference between staff notes and family communication

Raw daily notes may include details about other participants, staff observations, confidential incident information or protected records. They should not automatically be visible to families.

An authorized staff member should intentionally prepare an approved update and send it only to the appropriate people. Family access must be revocable and limited to their approved scope.

How KinNotice plans to support this

Family Connection is intended to offer a private update feed, family notes and replies, and optionally approved summaries of progress. It is separate from internal staff documentation.

Curated sharing is intended to help families stay informed without giving them unrestricted access to internal documentation.

Frequently asked questions

Should families get access to all staff documentation?

Generally, the planned design uses explicit, scoped sharing, not unrestricted access to internal program notes.

Can programs share goal updates?

The planned model supports organization-approved summaries when permitted, rather than exposing every internal metric by default.
